Organizational Setting and Reporting
The United Nations Environment Programme (UNEP) is the United Nations system's designated entity for addressing environmental issues at the global and regional level. Its mandate is to coordinate the development of environmental policy consensus by keeping the global environment under review and bringing emerging issues to the attention of governments and the international community for action.
The UNEP Division of Communications and Public Information internship is for 6 months.
The Internship is UNPAID and full-time.
Interns work five days per week (35 - 40 hours) under the supervision of a staff member in the department or office to which they are assigned.
Responsibilities
Daily responsibilities will depend on the individual's background; the intern's assigned office as well as the internship period.
The overall duty of the intern is to assist with the coordination of the news and media functions of the Division of Communications and Public Information. Under the direct supervision of the Head, News and Media Unit, the intern will perform the following duties
  • Assisting with media accreditation
  • Providing assistance in the maintenance of the media contacts database
  • Providing support in organizing press conferences and media events
  • Undertaking research tasks as needs arise
  • Assisting in uploading content on the News Centre
  • Supporting media training activities and field trips

Education
Applicants must at the time of application meet one of the following requirements
  • Be enrolled in a graduate school programme (second university degree or equivalent, or higher);

  • Be computer literate in standard software applications.

The Ozone Secretariat is the Secretariat for the Vienna Convention for the Protection of the Ozone Layer and for the Montreal Protocol on Substances that Deplete the Ozone Layer. This post is located in the Ozone Secretariat of the United Nations Environment Programme/Executive Office (UNEP/EO) at the Nairobi duty station. Under the overall supervision of the Deputy Executive Secretary, the incumbent will perform the following functions: Responsibilities
1. Documents Management and Front Office Support
  • Liaises with the Division of Conference Service (DCS) and Secretariat staff in processing of documents and publications and acts as the DCS Documents' Services Request authorizing officer on behalf of the Executive Secretary.
  • Maintains the Ozone Secretariat's contact database.
  • Prepares and supervises the dispatch of mass electronic mailings to Parties to the Montreal Protocol.
  • Uploads meeting documents to their specific meeting portals and performs appropriate tests.
  • Ensures that documents are available electronically and are accessible to Secretariat staff and meeting participants in legible formats in a non-restricted repository.
  • Acts as back-up to Administrative Assistants assigned to senior management.
2. Information Technology
  • Assists in the maintenance and updating of the Ozone Depleting Substances (ODS) database system.
  • Assists in the set-up, configuration, operation, administration, technical support and monitoring of the Secretariat's servers and computers.
  • Undertakes basic LAN administration and support duties.
  • Provides standard and applications-specific support and applications/LAN troubleshooting.
  • Performs troubleshooting of the office automation systems within the Ozone Secretariat, fixing problems or escalating them to UNON ICTS.

The UNOPS Kenya Operational Hub (KEOH), located in Nairobi, Kenya, spans across East Africa, covering Kenya,Somalia, Uganda, Tanzania, Rwanda, Burundi and Eritrea. The Office is comprised of 150 personnel with the right mix of critical skills needed for effective services delivery.
KEOH implements projects in infrastructure, procurement, environment, health, grants management, financial management, human resources and advisory services. There are also several regional environmental projects that span across Africa and parts of Asia that are being managed by KEOH project managers.

The SWITCH Africa Green Project is being implemented by the Regional Office for Africa, in coordination with the other UNEP Divisions and partners. The Programme Assistant will be located in Nairobi duty station, and will report directly to the Regional Coordinator of the Resource Efficiency sub-programme, and work under the overall supervision of the Director of the Regional Office for Africa.
The Programme Assistant will provide support to the SWITCH Africa Green Project, which aims to support six African countries to achieve sustainable development and poverty eradication through the transition to an inclusive green economy and a shift to sustainable consumption and production patterns.
Functional Responsibilities
Within limits of delegated authority, the Programme Assistant will be responsible for the following duties:
  • Provides assistance in support of planning and implementing activities for the SWITCH Africa Green Project.
  • Assists in monitoring the status of project activities; takes necessary action to ensure project documents are completed and submitted to relevant parties for action.
  • Assists in the monitoring and evaluation of the project; categorizes, updates, tracks and analyses data; carries out periodic status reviews, identifies issues and initiates requisite follow-up actions.
  • Researches, compiles, analyses, summarises and presents basic information/data on the building and construction sector.
  • Provides support to other sustainable consumption and production and green economy related projects and activities in UNEP- ROA
  • Assists in the preparation and analysis of programme budget proposals; provides assistance in the interpretation of budget guidelines.
  • Supports reporting on budget revisions, expenditures and obligations, verifies availability of funds; initiates financial authorizations for expenditures.
  • Serves as focal point for coordination, monitoring and expedition of programme implementation activities, involving extensive liaison with a diverse organisational units to initiate requests, prepare standard terms of reference against programme objectives, obtain necessary clearances, process and follow-up on administrative actions and resolve issues related to project implementation.

The East Africa Hub
Located in Nairobi, Kenya, the East Africa Hub manages a growing portfolio of engagements, including associated strategic and operational risks. The East Africa sub-region currently consists of an established Operations Center in South Sudan, an Office in Somalia and a portfolio of engagements managed by the Kenya based East Africa Hub office.   • To review, proofread and edit draft reports, publications, evaluations and other information
  • materials taking into account grammar, style, content and format, as per UNOPS guidelines
  • To check for and correct repetition and spelling or grammar mistakes as well as to improve
  • phrasing and language use for easier reading
  • To review and edit the presentation style, format (spacing, indentation, capitalization, paragraphs, headings etc.)
Details of how work will be delivered
To achieve the objective of the assignment, the contractor(s) will:
  • Upon request from UNOPS KEOH, proofread and edit the content of reports and publications submitted by KEOH
  • Have meetings and regular exchange of information with Communication Officers and respective Programme Officers responsible for the publication in order to agree on the tasks, scope and timeframe and receive feedback
  • Double check any unclear meanings with the original drafter or translator and render in improved English

  • University degree in English, International Affairs, English, International Development, Communication, Journalism or other relevant fields from an English-speaking university
  • At least 2 years of proven experience in editing reports and publications in English
  • Experience in editing reports, research papers, publications and familiarity with UN terminology will be an asset
