Stores Assistant Job Purpose

  • To ensure efficiency and accountability for the management of all HLM book stock held at both the bookshop and bookstore.

Principal Accountabilities

Stock management

  • Maintain an accurate stock management system of all sales transactions
  • Updating of stocks balances in the bookshop and bookstore
  • Keeping a running inventory of Amref health Africa books and other publications

  • Stock taking and reconciliation
  • Organize, coordinate and participate in bi-annual and annual stock takes and provide record of balances to compare with physical balances.
  • Reconciliation of actual physical stock with the system stocks
  • Prepare stock reports.

  • Stock replenishment
  • Ensure the minimum stock and reorder levels are maintained and reviewed according to sales made.
  • Identifies titles for review

  • Produce weekly, monthly and annual reports
  • Order expediting
  • Follow up and expedite orders from customers while advising users accordingly.
  • Prepare invoices, and dispatches of learning materials

Financial reconciliations

  • Prepare weekly sales macros and forwarding the same to the unit’s accountant
  • Maintains records of daily sales.
  • Handles the bookshop’s daily cash and cheque transactions
  • Follow up on timely payment from debtors
  • Ensuring health, safety and security in both the bookshop and the bookstores
  • Maintaining a high standard of cleanliness in the stores and the bookshop
  • Taking necessary precaution to mitigate and eliminate any potential hazard and risk of injury in the stores.
  • Ensure no unauthorized access in the stores.

Required Qualifications for Stores Assistant Kenyan Jobs

  • Education (academic and professional as per Amref Health Africa not what you hold)
  • Bachelor’s Degree in Library Information Science
  • Experience (number of years as per Amref Health Africa)
  • 1 year working experience
  • Marketing experience will be an added advantage
  • Skills
  • Excellent interpersonal skills
  • Good communication skills
  • Team player

  • Planning and organizational skills
  • Analytical skills

Competences

  • ICT proficient
